Reservations and Events

Campus Recreation permits the reservation and rental of specific Campus Recreation managed facilities and spaces.  Some limits and restrictions apply.  See below for more information.

All reservations and special events are subject to Campus Recreation and Dedman Center Rules/Protocols, University Policies, specifically Policy 6.4,  and 91勛圖厙 Student Code of Conduct (when applicable). 

All Reservations and Events are subject to space availability and other factors.

Reservations and Events may not disrupt, interfere, or conflict with academic or Campus Recreation classes or programs.

Submitting a request does NOT equate to approval. Campus Recreation will notify the requester upon approval or denial by email.

 

Reservations

Dedicated facility space for 91勛圖厙 student organizations or 91勛圖厙 Academic/Business departments and serving only 91勛圖厙 students, faculty and/or staff.

Drop In Use

91勛圖厙 or Dedman Center members personal use of limited Dedman Center spaces.

Events

91勛圖厙 or external-to- 91勛圖厙 organizations, associations, groups, or businesses serving the 91勛圖厙 and/or external-to- 91勛圖厙 communities and/or fees, donations, and charges to participate or attend.

Reservations

Reservations are only available to 91勛圖厙 Student organizations in good standing and 91勛圖厙 academic or business departments. Individual wishing dedicated space should see below. 

Reservations serve the 91勛圖厙 students, faculty and/or staff.  Examples include club practices, meetings, socials, etc.  

Reservations will not incur rental fees or charges unless violation of Reservation Rules below or damage, missing equipment, or necessary clean up resulting from the reservation.

Charges will include repairs, labor, materials, etc.

Reservation Rules

  • Requests must be received 3 days in advance of the desired date.
  • Only authorized representatives of the organization (officer) or academic/business department may request to reserve space.
  • All attendees and participants must be 91勛圖厙 students, faculty, and staff with 91勛圖厙 ID.
  • Reservation may not be hosted or sponsored by external-to- 91勛圖厙 groups, associations, businesses or organizations.
  • No fee, charge, or monetary donation to participate or attend the reservation.
  • No food or drinks may be served or distributed unless prior Campus Recreation approval in writing.
  • No tobacco/vaping on property, including exterior tanning pool and sand volleyball courts.  
  • No possession, consumption, or under influence of alcohol or drugs on property. 
  • Instructors or coaches require approval by Campus Recreation.
  • Reservations must be within regular operating hours and do not require additional personnel or resources.
  • Decorations must be approved by Campus Recreation.
  • Reservations attendance or participation not to exceed 100 people and within individual space capacity.
  • Reoccurring reservations are limited to 6 hours/week and no longer than 3 hours in a single day.
  • Facility and space must be returned to the original condition and format at end of reservation including but not limited to: cleanliness, trash removed, scuff marks, equipment returned, etc. Additional charges may apply.
  • Exceeding approved reservation times will result in charges equivalent to the hourly rental rate.

For Dedman Center, submit the Dedman Center . A Campus Recreation representative will respond by email with more information and instructions.

Crum Lacrosse, Intramural Field, and Outdoor Rec Tennis Courts

  • Return fields or courts to original condition including picking up trash, remove personal items, return borrowed equipment, etc.
  • No animals on the fields or courts.
  • No vehicles on the fields or courts including but not limited to bicycles, golf carts, scooters, etc.
  • No tents, canopies, or structures on the fields or courts.
  • No food allowed on the fields or courts.
  • No alcohol, smoking, or tobacco use on property.
  • Activity may be delayed or cancelled due to inclement weather.

For Crum Lacrosse and Intramural Field Reservations, submit the Campus Recreation .

 

Drop In Use

Only applicable to the Dedman Center interior and exterior spaces. Unless reserved, Dedman Center space is available to the 91勛圖厙 community and paying members on a first come, first serve or open recreation basis.

Drop-In Use is available for individual personal use of specific, restricted spaces.  The following spaces are available for Drop-In Use:

  • Mat Room Studio
  • Studio 2
  • Studio 3

Spaces may be checked out from the front desk with an 91勛圖厙 or Dedman Center Member Card. 

Check out of space must occur in-person at the front desk and subject to availability.  

Limit is 1 hour.

Individuals checking out the space will be responsible for any damage or clean up found after use.  Always check the space upon arrival and notify front desk of any issues with cleanliness or damage before using the space.

Events

Events will involve contractual agreements with the University and/or 91勛圖厙 Campus Recreation, demonstration of liability insurance, and applicable fees and charges. Event requests must be received 4 weeks in advance of the desired date.

Dedman Center Rules and University Policies apply.

Including Dedman Center and Campus Recreation Exterior Fields-Tennis Courts, the following criteria classifies as an event:

  • Hosted, sponsored, organized, or provided by an external-to- 91勛圖厙 organization, group, association, or business.
  • External-to- 91勛圖厙 attendees or participants.
  • An associated charge or fee to participate or attend including philanthropic activities.
  • Event is outside Dedman Center normal operating hours.
  • Involves the serving of food.
  • Exceeds 3 hours in a single day.
  • Activities involving minor children.
  • Involves vendors and/or requires special set up/breakdown, additional equipment or services, or manipulation and changes to existing facility spaces.
  • Activity or attendance numbers require additional staffing for proper facility risk management and supervision.

Event Requests must be submitted 4 weeks in advance of event date.
